Collective Meeting Minutes - May 3rd, 2010
June 5, 2010

attendance:
tim
joe b
anton
dileep
peter
noah
lars
doug
barbara
boson
ben g
eric

Reports:
shop
-ordered consumables. will get stuff by end of week.  again, tell lars, boson and noah when things are low

-started a timesheet form, will pass around for review

-we need a cleanup day this summer

PR
-with lauraville tuneup workshop, tim started a draft of the new brochure.
-tour de port

Finance
-budgeting is important since we make more in the summer vs winter;
-check email
-as far as total revenue includes 90 from pizzazz but not stew.
-a formal call to have a real budget for next year by next meeting.

Bike Library (MICA)
-met twice. respectful.  fun.  all good.
-one thing that wasn’t clear was their access for parts… there were no list of stuff taken…
-at last meeting we agreed that extras we will donate.

Pizzazzz
-    Doug/gab/dileep bartended.  did okay… talking to the owner that we could do it again for          a bigger event. (maybe a fall event?) netted 90 dollars and we will get 20 percent of sales.

Proposals
——-bbw consignment
they have a 80/20 consignment set up
we sell ‘nice’ bikes on consignment (350 up)
since people go to bbw exclusively to buy bikes, and to us to use tools/etc… we might get better turnout to sell
one month in shop before selling via bbw
figure out if bbw does safety check, we will have them sign our release form.
list of bbw bikes here in shop.

?

is this for all bikes above 350? yes
is this comparable to their prices? yes
parts? no just whole bikes.
how do our safety standards match ours? we should check them as if they were leaving our shop to others hands first.
how is this determined?  collective members decide if this bike goes there.

concerns
-this affects our relationship w penny? lars discussed w penny.  as far as her losing business she’s not concerned w/ used bike market.
-are we losing money? probably not… we let it sit there and it loses money.
-we might get the rep that we only have lower quality bikes.  (alternative proposal is to keep it here for x amt of time and then send it down, also 250 dollar bikes might not be crap bike)
-safety standards: it might not be up to bbw’s…  (we can ask bbw if they do a safety check)
-we should have a notification for bikes so that

consensus: passed

—–two collective clinics
highly suggested clinic for collective members on assessment of bikes
1.) when bikes come in
2.) when bikes come out.

only collective members who took these clinics can determine where a bike goes (b/s/x)and safety check a bike.

?’s
are we doing this at collective meetings? (we just want to set a specific time, and getting enough people at collective meetings is the most successful.)

who sets the standard? (tim would take on the task on teach/checklist but others can collaborate.)

concerns:
-is 300 too low to be a shop bike?  the concern is that we will take relatively nice bikes for shpp always. ( the point is to have a standard ).

-what if someone who runs in a bike shop joins the collective, do they need to run? (yes)
-how do we say no?  the point

-coop members have this opportunity? (the plan is no… there might be exceptions)

—-passed

mobile bike shop
-develop a mobile tool kit to use for events.
-won’t need to rummage for tools during women/trans nights/ reg nights/ class nights/
-this kit is NOT used for anything other than mobile use.

?’s
is this really a shop committee issue? (not really, but shop will purchase and pr/edu will keep)
how will this be stored (preferb in a box)
could this be a grant? (maybe)
can we make sure this works w the xtracycle….( the idea is that it’s modular, w exceptions of stands, it should be bike transportable. )

concerns:
cost?  (rough ballpark of that stuff is a couple hundred of dollars…)
safety (locked in back room)

—–passed

restructuring meeting requirements

we agreed to go to a second meeting of the month…
with that the proposal
instead of

2/3 general collective meetings in 3 months
it’ll be
4/6 all meetings. in 3 months

this does not have to apply prospective, only to current/provisional/in standing…

?
we all have collective meetings only?  (basically we agreed that the 2nd meetings of the month are collective meetings)

rephrased proposal: make amendment to bylaws that addressed that we have more collective meetings now.

BACKROOM cleanup day:
an afternoon come in invited people + collective members come in and organize the back
suggested that we do this monday 15, 10am.

Discussion
backroom policy:

current contents:
collective mem bike            keep
occasional coop personal    gone
vpede bikes                        keep
unprocessed donations                keep
special parts for shop bikes            keep
large tools                                keep
construction/tools                        gone
occasional unlocked bikes             gone
extra stands.                               gone

LEDGER:
use stamp to stamp the opening count.
list items of different types on sepraete lines

seperate items
donations
membership use
complete bikes
new parts
used parts

we should be more careful in writing down sepereate things since otherwise it wastes dileeps time

SELLING BIKES TO KIDZ
kids come in tryin’ to buy bikes.  can they buy stuff?
-policy is that they can’t even come in
-they should get adults to buy the bikes.

as is bike sale day
joe has a concern that we will get rid of properitory parts.  wants to be involved in this process

bike loaner.
joe will lend it

bbw coupons:
they designed a coupon
-only for build a bike or a bike purchased from here where we sign off the release where then they get a %10 discount from a coupon that we hand out.

lars shopped around a similar idea with other shops and no one seems interested;

next meeting 5/17 - vol
6/7 - collective
