General Meeting
June 1, 2009
Present: Gabby Vigo, Jenny Sage (visitor), Peter Hegel, Kristen Rigney, Noah Bers, Anton Schaller, Tim Barnett, Anna Ricklin, Dileep Monie.

Shop Committee Report:
Front Area will be non-mechanical aside from wheels and frames: library, office, records, classroom area.
Shop Committee is working on clearer definitions of roles in the shop (Greeter, Mechanic, Volunteer Coordinator) which we will compile into a shop manual.

Recycling:
Every other Tuesday, Thursday morning, pick up will be in front of out building

Gabby: Let’s not put stuff in the trash that can be recycled!
Proposals:
Policy re: front windows (from Shop Committee) NOTHING ON WINDOWS!
Concerns: Gabby: window is a great place for event posters.
Kristen: Perhaps only bike-related posters.
Counter-Proposal: One window, bike-related only
Noah: Person posting should take the poster down
Consensus on counter-proposal >> AGREE
Policy re: Storage Room
“Informal Policy”: exercise restraint on storage in back room.
What about co-op member bikes?
Anton: What about expensive bikes for co-op members who have forgotten their locks?
Answer > Let’s get some VBP loaner locks (next meeting agenda)

Kristen: VBP had a stand at Patterson Park (Half-way point)
Tim: How many people do we need? (2-3 at Patterson Park)

Proposal: Use Velocipede Bike Project Name (as a sponsor)
Gabby: Earth Cycles project will maintain independence from VBP
Tim: No trouble being first sponsor
Noah: Can Velocipede donate parts, supplies?
Anna: When will you leave? Gabby: >> September
First Proposal: Just as sponsor; love & support generally
Dileep: Are there liability concerns? >> Peter: No.
Agree to first proposal without specific items yet?
Would we be violating the restrictions of 501(c)(3) status? Anna: >> No.
Gabby: Clarification: Will only take minor parts.

Proposal: Correct Error in Bylaws (Tax year /Fiscal Year)
The one we signed read January 1st to December 31st.
The one that we all looked over and agreed on read July 1st through June 30th.
Dileep: we want to correct this before the end of the month.
Dileep: Only officers need sign bylaws now, everyone will sign it later.
Noah: This is not in keeping with the spirit of collective action.
Counteroffer: Lars: Everyone can sign this in the shop when they are here rather than assembling everyone at once.
Tim: Deadline?
Consensus: Will sign by Mon. June 15th, bylaws will be in shop.
Proposal: Make corrections, All will sign (in the shop, in the gray cabinet) by June 15th.

Discussion: Conflict of Interest Amendment?
Is the IRS’ suggested language useful?

Deadline for submission for presenters: as late as a week before conference
Should we finance travel expenses again? (Discussion)
Anna: Yes, but we really need to debrief afterwards.
Dileep: Plan retreat for after BikeBike?
Dileep: Proposal: Cap travel expenses at $300
Tim: Point person will research ticket prices, send out information
Consensus: Agree to sponsor travel expenses, point person will research and set cap.
Announcements:
Grassroots Bike Series: June 20th, contact Tim for details.
Light Street moved down Light Street, still need a little help organizing. Donated several bikes, a rack.
Assessment of meeting and suggestions for the future:
Tim: We need to start on time
Anna: Agenda was confusing >> [two people submitted the same points]
Let’s get the agenda together sooner
Gabby: Meeting was actually not bad, a lot was covered, the meeting is very important
Consensus process is still a little confusing: let’s get a chart
Peter: Time for discussions from submitter ahead of time, consideration of how to present items, as well as information, put together ahead of time
Noah: Forum topic all month long for agenda at the start of the next month.
Anton: Separate out topics/proposals by timeliness
Lars: We need a process for side-lining important but unrelated topics without offending the people who raised them. Noah>> Could have a time at the end of the meeting to discuss issues that were brought up.
Goals for the next meeting:
* Agenda on the forum ahead of time with deadline: End of Saturday before meeting
* Large reproduction of consensus flowchart.
* Add a time at the end of the meeting for sideline issues.
* Start meeting on time!
